I’m the secretary. One new member meant four different systems. We checked ticket lists against membership payments by hand, and our newsletter tool had no way to know which event it was promoting. Our treasurer, communications officer, event planner, young professionals manager and chairman each faced the same problem in a different way. I built a tool to bring those nine separate processes together, with input from the whole board.

Members, dues, events, newsletters and finances in one place. Flok replaces the spreadsheet, the group chat and the bookmarks you keep losing.
Ask in plain English. The Pilot drafts your annual meeting invitation, matches IBAN transfers to dues, flags possible non-renewals and writes your next newsletter in your tone. Less admin. More time for your club.
Member portal, tags, custom fields and bulk import from Excel. GDPR-first — hosted in Switzerland and the EU.
Swiss QR-bills, membership dues, one-off invoices and bank-statement imports (camt.053). The Pilot can match transactions automatically.
Public event pages, RSVP tracking, paid tickets and waitlists. Members sign up in two taps and check in with a QR scan at the door.
Drag-and-drop editor, dynamic event blocks, and open and click tracking.
Growth, renewals, revenue and attendance, at a glance.
Hosted in Switzerland and the EU, compliant with nDSG/GDPR, passkey sign-in and a full audit log. AI does not use member data for training.
Statutes, minutes and receipts in one archive for the whole board. Organise folders by role, share documents with members in their portal, and use links that expire automatically. Stored in Switzerland · 2–10 GB depending on plan.
A one-page website with your events, membership information and sign-up form. It stays up to date and can use your own domain. See how it works ↓
Publish an event in minutes, sell or issue tickets, and welcome each guest with a two-second QR scan. No printed lists, queues or clipboard duty — your team can spend the evening with members.
Describe your club in a few sentences. The Pilot drafts a one-page website using what Flok already knows: your events, membership information and contact details. It uses your logo colours. Edit it by asking the Pilot or clicking the text.
Every repetitive admin task, drafted in seconds and ready for your review. Never a bulk action without your confirmation.
No IT project, no migration consultant. Most clubs are fully running within a weekend.
Drop your Excel. The Pilot maps columns, cleans duplicates, suggests tags.
Set standard, reduced and honorary dues. Send invoices with a Swiss QR-bill, by email or by post.
Public page live in minutes. Tickets, waitlists, reminders — all automatic.
Newsletters, reminders, reconciliations — approved by you, done by the Pilot.
"We used to spend three evenings a month on billing. With the Pilot, it's under twenty minutes — and the newsletter writes itself."
Flok is built with volunteer boards, coaches and treasurers — the people who keep clubs running on evenings and weekends. Every feature earns its place by giving them time back for what actually matters: their members.

The Pilot supports real workflows: drafting newsletters, matching IBAN transfers, flagging possible non-renewals and welcoming new members. You approve every action before anything is sent or charged. You can turn off individual capabilities by area.
Swiss and EU data centres. GDPR- and nDSG-compliant. Member data is never used to train AI models. You can export your member list and your books at any time.
Yes — export your members to Excel or CSV from WISO MeinVerein, Bexio, Campai, SpenglerFox or anywhere else, and the Pilot matches the columns for you.
The Swiss QR-bill (ISO 20022) can go on every invoice, on every plan — enter your bank details once. From the Club plan, bank statements in camt.053 format can be imported and matched to open invoices. SEPA direct debit is not offered.
